There are two methods, each having a different link, for adding brand new athlete members. The first is to add and pay for each member one at a time. This is not the most time efficient method, but may be preferable in situations where the individual athlete is paying for the membership on their parent's credit card, or you only have one new member to add, and you are not renewing any athlete members during the same internet session.
To use this method, choose ADDING AND PAYING FOR NEW ATHLETE MEMBERS ONE-AT-A-TIME
ADDING AND PAYING FOR NEW ATHLETE MEMBERS ONE-AT-A-TIME link.Note: If you have an athlete who was a member in the 05-06 season, but not for the 06-07 season, do not attempt to add a new record for this individual. Call member services and have them activate the member.
The quicker way to register brand new athletes, particularly if you have more than one brand new member and/or you are also renewing your athlete members in the same internet session, is to use the ADDING NEW ATHLETE MEMBERS-GROUP PROCESSING link...
ADDING NEW ATHLETE MEMBERS-GROUP PROCESSING link. ADDING NEW ATHLETE MEMBERS-GROUP PROCESSING. Use this link to enter the data for your brand new athlete members. When finished, proceed to Step 4, using REGISTER/RENEW ATHLETES IN YOUR CLUB link to pay for and provide memberships for your brand new and renewing members. Note that this process is quicker, but requires one lump sum pqyment from a single credit card.
Please note, that if you added athlete members using the ADDING NEW ATHLETE MEMBERS-GROUP PROCESSING link, you have only created a record, assigned a member number, and added them to your club roster at this point, which will make them available for actually processing their membership in step 4 below. Without proceeding through Step 4, you will not be providing a membership for them.
Once your club user ID and password are entered, hit SUBMIT, and an alphabetic listing of your members from last season, plus individuals added in Step 2 above, and updated from Step 3 above, will appear, listed 5 per page.
Simply click in the box next to the word "renew" to renew any athlete on your roster. At this time, you may also change the athlete's levels (if necessary).
Note that you are indicating "renew" even for the individuals whose data you added in Steps 2 and 3. By indicating renew, you are actually providing them a membership.
On the payment screen, fill in all required information and then submit.
You should receive a confirmation e-mail with a confirmation or transaction number, the amount charged to your card, and athletes that were renewed. If there is a problem with the credit card transaction, and your payment does not match the amount of athletes processed, the e-mail will alert you with instructions.
When you submit your payment, and the transaction is successful, all that has been done at this point is that the credit card company has put a 'hold' on your available credit for the amount authorized. The business day following the date of your submission, USA Gymnastics reviews your transaction to make sure there were no problems with either the credit card transaction or the membership information. Once USA Gymnastics is satisfied that everything is in order, we take the amount off 'hold' status, and actually charge your card for the amount. This typically happens in the early afternoon of the business day following your submission. At that time, the athlete is added to your roster available for viewing in the HOW TO OBTAIN YOUR CLUB'S ATHLETE ROSTER section.
If you have a valid CLUB email address in the USAG System you can click on the GET MEMBER CARD Button to print off the ATHLETE Membership Cards for those that you have just renewed or registered. -- This will tell the system to generate a new ATHLETE Membership Card for all whom you registered and renewed.
The Confirmation page will show you the CLUB Information and the Email address the Cards will be sent to.
Each EMAIL will have 1 or more attachments.
As a word of caution, some debit cards are processed automatically by the card system, even if there was some type of problem with the transaction resulting in the membership not being processed.
